Device identity columns

Do not use IMEI as the universal key: MacBooks, AirPods and Wi-Fi iPads do not have one.
Intake and provenance columns
- Supplier: vendor or delivering party.
- Received date: actual warehouse receipt date.
- Owner: responsible person or team.
- Notes: exceptions, documents, box condition and follow-up items.
These fields trace a device back to its lot when a dispute or model mismatch appears.
Activation, warranty and check columns
- Activation status/date: status and date when supplied by the selected check.
- Warranty end: tracked service-coverage end date.
- Checked at: result timestamp, required to judge freshness.
Coverage fields do not establish Find My, Activation Lock, blacklist or carrier-lock status.
Operations columns: Grade and Stock status
Grade records your internal A/B/C condition standard after physical and functional inspection. Stock status should use a controlled list such as Received, Checking, Ready, Hold, Sold or Returned.
Document the grading rubric so every operator applies the same standard.
Use the template in an intake workflow
- Assign Asset ID; enter Supplier and Received date.
- Scan IMEI/serial instead of retyping from a photo.
- Match the model and run the appropriate coverage check.
- Record Checked at, activation fields and Warranty end.
- Inspect, then assign Grade, Stock status, Owner and Notes.
